Hostfully allows you to give your Service Providers access to your account with limited and relevant rights to view and modify data. Please see the steps below to understand how to create Service Provider accounts and invite your service providers to use Hostfully in order to be fully part of your turnover workflows.
STEP 1: CREATING A SERVICE PROVIDER
Start from going to Agency Settings > Service Providers to create you first service provider:
Fill out the form and hit Save. Note that each Service Provider will need to be created with an email address that is unique on the system.
STEP 2: INVITE THE SERVICE PROVIDER
Click the link "Invite Service provider to claim an account":
When the invite pop-up comes up, just review the message and click the Send Message button:
STEP 3: CREATE SERVICES FOR EACH SERVICE PROVIDER
A particular service provider can provide multiple services and for different rate levels, so the platform allows you to define each particular service and pricing. On the Edit Provider page, click on the Add a Service button to add a Service:
On the Add Service page, provide the details for this service and Save:
This service will then appear on the Create Job window when you create a Job.
Host Service: a service meant to be provided to the host. Examples: a handyman service, landscaping, roof inspector etc
Guest Service: a service meant to be provided to guests. Example: private tours, in-house chefs, private chauffeur etc
WHAT SERVICE PROVIDERS SEE?
Once your service providers log in with the account credentials you sent them, they will see a dashboard that will summarize the Pending and Completed jobs which have been assigned to them (see below).
Service Providers can view assigned property's calendar, a particular job, cancel a job or mark a job as completed:
When Service Provider "views" a Job, they will be reminded of the date of the job, the address of the property, and will see the job-specific notes that you added when you created the job:
On the next tab of Calendar, the Service Provider can see the assigned properties' calendars, and certain booking's details like:
Checkin - checkout
Number of guest (adult, child, ...)
Property Maintenance Instructions
When viewing a property, the Service Provider will be able to also see the property maintenance instructions (instructions which are the same for all jobs for this property). This is a good place to add photos or to-do lists for your maintenance crew:
