The Hostfully Central Calendar is the heart of the reservation system - it will not only become the source of truth for all booking information but will also be dynamically synchronizing your reservations to all calendars across your distribution network.

Therefore it is essential to get the calendar properly set up and loaded before making your properties available for rental across booking sites. Here's the multi-step process to get everything started (you can skip any particular step if you don't want to use one of those channels):

Step 1: Import your property details from Airbnb

During the sign up flow, if you select to import your property data from Airbnb, the system will create property profiles for each of your listings.

Note on timing of API synchronization:
The Airbnb property import does not sync your calendar or reservations. After the full sync is turned on your calendar will start showing the Airbnb bookings. Active the full sync for each property from the Airbnb Channel Management page.

Note on exsting iCal synchronization:
If you have existing Airbnb iCal synchronization active at the time when you enable the direct Airbnb integration with a property, that iCal sync will be removed by the system.

When you turn on the Airbnb full sync, Blocked dates will not come into Hostfully. If you have Blocked dates in Airbnb, you will need to manually create these Blocks in Hostfully. See the final step of this document for instructions on adding Blocks.

Step 2: Import your bookings from Vrbo (used to be HomeAway)

Note: If you currently have Vrbo connected to another Property Management System (PMS) you will not be able to import iCals from this channel. Please contact Hostfully's support team to review your options at support@hostfully.com.

If you're not connected to another PMS, you'll need to first get iCal URLs from Vrbo in order to import your Vrbo bookings to Hostfully, using our Calendar Import tool (that is, if you already have a Vrbo account with existing and future bookings). Make sure to check the option "Keep calendar automatically synchronized":

You will start seeing your Vrbo bookings on your calendar (dark blue color).

Repeat the same process for Vrbo or any site of the Vrbo family.

Once you're ready to turn on the Vrbo channel from the Channels page, we'll automatically turn off the iCal sync and switch to direct synchronization through the Vrbo API.

Note: There will be a gap in time between when the iCal sync is turned off and when Vrbo will officially publish your listings. During that time period, Hostfully will keep your iCal synchronisation active. Once the listings are officially published by Vrbo, they will let you know and you can then remove the iCal syncrhonisation for these channels (Vrbo, and their family or websites. Removing the iCal synchronization will not remove the Vrbo bookings that were imported.

Step 3: import your bookings from Booking.com

Step 4: import your bookings from TripAdvisor or other channels

Setting up TripAdvisor is very similar to Vrbo:

  • Get your iCal files for each property

  • Import them using the Calendar Import Tool (use the "TripAdvisor" option)

  • Import the listings and check Keep Calendars Synchronized

  • Turn on the channel

TripAdvisor's bookings will show as light green on the calendar. HomeToGo as dark red, and Hostfully's as orange.
